1. Agreement to terms

By creating an account or using Ztex ("the Service"), operated by Ztex Ltd (registered in England and Wales), you agree to these Terms of Service. If you do not agree, do not use the Service.

These terms apply to all users including free-tier, paid, and enterprise customers. Additional terms may apply to enterprise agreements executed separately.

2. Service description

Ztex is an AI-powered recruitment intelligence platform providing:

  • CV/resume parsing: Automated extraction of structured data from uploaded documents using AI
  • Candidate matching: AI-powered comparison of parsed profiles against job requirements
  • Skill extraction: Mapping candidate skills to our ontology for intelligent search
  • Pipeline management: Tracking candidates through recruitment stages
  • Analytics and reporting: Recruitment metrics and insights
  • API access: Programmatic access to parsing and matching capabilities

3. Plans and pricing

  • Free tier: 25 parses per month, 3 active jobs, API access with rate limits. No credit card required. The free tier serves as a trial — no time-limited trial period.
  • Pro: 1,000 parses per month, unlimited jobs, priority support. Billed monthly via Stripe or Razorpay.
  • Enterprise: Custom pricing, SSO, dedicated infrastructure. Contact us for details.

Pricing is displayed in your local currency (GBP, EUR, INR, or USD). All fees are exclusive of applicable taxes unless stated otherwise. We reserve the right to change pricing with 30 days' written notice.

4. Accounts and registration

  • You must register with a valid business email address (free email providers are not accepted)
  • You must verify your email address before the account is activated
  • You must provide accurate company information
  • You are responsible for maintaining the security of your account credentials and API keys
  • You must notify us immediately of any unauthorised access
  • One free account per email domain — multiple paid accounts per domain are permitted

5. Acceptable use

You agree not to:

  • Upload malicious files, malware, or content designed to exploit the system
  • Attempt to access other tenants' data or circumvent security controls (including row-level security)
  • Use the Service for purposes other than legitimate recruitment activities
  • Reverse-engineer, scrape, or systematically extract data from the Service
  • Exceed published rate limits or abuse API access
  • Share API keys or credentials with unauthorised parties
  • Create multiple free accounts to circumvent quota limits
  • Upload fabricated, stolen, or illegally obtained personal data
  • Use the Service to discriminate against candidates on any protected characteristic

Violation of acceptable use policies may result in immediate account suspension, API key revocation, and permanent termination without refund.

6. Data ownership and processing

Your data, your ownership. You retain full ownership of all data you upload, including CVs, job descriptions, and candidate information. We do not claim ownership of your data.

  • We do not sell, rent, or share your data with third parties for marketing
  • We do not use your data to train our AI models beyond providing your service
  • You are the data controller; we act as a data processor on your behalf

For EU/UK customers requiring a Data Processing Agreement (DPA), contact [email protected]. We will provide a DPA consistent with GDPR Article 28 requirements.

7. AI and automated processing

The Service uses artificial intelligence to parse CVs, extract skills, and match candidates to job requirements. You acknowledge and agree:

  • No automated decisions: AI outputs are recommendations only. All hiring decisions remain with you, the recruiter. We do not make automated decisions with legal or significant effect on candidates (GDPR Article 22).
  • Accuracy: While we strive for accuracy, AI-generated outputs (parsed data, skill matches, rankings) may contain errors. You should review AI outputs before acting on them.
  • Bias mitigation: We actively work to identify and reduce bias in our AI systems. If you identify potentially biased outputs, report them to us.
  • No model training: Candidate data uploaded by customers is not used to train general-purpose AI models. Processing is scoped to your tenant.
  • Transparency: Candidates whose data is processed have the right to know AI was used and to request human review.

8. API keys and access

  • API keys are issued per tenant and are your responsibility to keep secure
  • Free-tier API keys expire after 90 days of inactivity
  • Compromised keys should be rotated immediately via the dashboard
  • We store only the SHA-256 hash of your API key — we cannot recover lost keys
  • We may revoke API keys used in violation of these terms without notice
  • Rate limits apply per plan tier (see Pricing)

9. Payment and billing

  • Paid subscriptions are billed monthly in advance via Stripe (UK/EU/US) or Razorpay (India)
  • You may cancel at any time — access continues until the end of the billing period
  • No refunds for partial months
  • Failed payments will be retried; continued failure may result in downgrade to free tier
  • We never store your payment card details — all payment processing is handled by Stripe/Razorpay

10. Service availability

We strive for high availability but do not guarantee uninterrupted service. Planned maintenance will be communicated in advance where possible. We are not liable for downtime caused by circumstances beyond our reasonable control, including third-party service outages, network issues, or force majeure.

11. Limitation of liability

To the maximum extent permitted by applicable law:

  • The Service is provided "as is" without warranties of any kind, express or implied
  • We shall not be liable for any indirect, incidental, special, consequential, or punitive damages
  • Our total aggregate liability shall not exceed the fees paid by you in the 12 months preceding the claim
  • We are not liable for decisions made based on AI-generated outputs
  • We are not liable for data loss caused by your actions or third-party breaches outside our control

Nothing in these terms excludes liability for fraud, death or personal injury caused by negligence, or any other liability that cannot be excluded by law.

12. Indemnification

You agree to indemnify and hold harmless Ztex Ltd, its officers, directors, and employees from any claims, damages, or expenses arising from:

  • Your violation of these terms
  • Your misuse of candidate data or violation of data protection laws
  • Claims from candidates or third parties relating to your recruitment practices
  • Your failure to obtain required consents for data processing

13. Termination

  • You may close your account at any time by contacting support
  • We may suspend or terminate accounts that violate these terms
  • Upon termination, we retain your data for 30 days to allow export
  • After 30 days, all data is permanently and irreversibly deleted
  • You may request immediate deletion at any time via [email protected]

14. Changes to terms

We may update these terms from time to time. Material changes will be communicated via email at least 30 days before they take effect. Continued use of the Service after changes take effect constitutes acceptance. The "last updated" date at the top indicates the most recent revision.

15. Governing law

These terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
